Frequently asked questions
Is my school's data shared with other schools?
No. Every school runs on its own isolated database, not just a separate login on a shared one. Any future oversight access would need formal approval, jurisdiction limits and purpose-specific controls. Parents only ever see their own OTP-verified children.
Does XULE support CBE and 8-4-4?
Both at once. Pathways, tracks, competency portfolios and the KPSEA, KJSEA and KCBE assessments are built into the core, while legacy 8-4-4 cohorts (Form 1 to 4) run alongside them until phase-out.
Can we keep our own grading system?
Yes. Grade boundaries are set per school and per subject, so Mathematics can reach a grade at a different mark than English, exactly like your current system. We provide defaults, and your dean can change them at any time.
How do parents access the system?
Parents log in with their phone number and a one-time PIN sent by SMS, which links them to their children. XULE keeps one identity per person, so a teacher who is also a parent uses a single account and sees a 'My Children' section automatically.
What do we need to get started?
Just a phone, tablet or computer with internet access. There is nothing to install. XULE is cloud-hosted, runs in any modern browser and is built for mobile.
How does billing work?
Your school is invoiced per active learner, per term, according to your plan. Invoices, payment history and reminders are all visible inside the platform well before each due date.
Can we migrate our existing records?
Yes. Learner and staff records can be imported during onboarding, and our team helps prepare the data. That help is included on Premium and Enterprise plans.
What happens if we stop paying?
You will get reminders before the due date and a grace period after it. If a subscription lapses, access pauses, but your data is never deleted. Everything comes back the moment the account is settled.
